Requirements: An NQF Level 6/7 in Office Management / Secretarial Studies / associated as acknowledged via SAQA. Paralegal qualifications will be a brought advantage. 1-2 years’ trip in an administration or secretarial environment. Code 08/10

Duties: Receive and method smartphone calls. Take inquiries for line managers and follow up on responses. Perform superior typing work. Operate workplace equipment, e.g., fax machines and photocopiers. Log calls to record erroneous workplace equipment. Record the engagements of the Directors. Manage the diaries of the Directors. Interpret and follow applicable Public Service prescripts and policies. Keep abreast of prescripts, policies, and methods relevant to secretarial work to make sure environment-friendly and tremendous help to the Directors. Provide records and file administration service. Sort, file and save guides and digital documentation in line with applicable laws and policies. Compile reports, e.g., development reports, month-to-month reviews, and administration reports. Check submissions/reviews and make notes and /or guidelines for the Directors. Respond to inquiries acquired from inner and exterior stakeholders. Draft archives as required. Clarify guidelines and notes on behalf of the Directors. Coordinate journey preparations for the Directors. Manage the depart register for the Directorates. Order and preserve stationery Coordinate and manipulate the secure preservation of equipment, branding, and promotional materials. Prepare briefing notes for the Directors as required. Record minutes/decisions and speak to applicable role-players and follow up on growth made. Coordinate logistical preparations for the meetings. Collect and coordinate all the files that relate to the Directors’ budget. Keep a document of expenditure commitments, screen expenditures, and endorse the Directors of viable over and below spending. Inform the Directors of requested price range changes.
